Here at Carrick Osteopathic Clinic, we take how we store and manage your personal and sensitive data very seriously. All data is now computerized.

Where is your data stored and is it secure?

Your information is held on our secure medical software Cliniko. Access to this software is password protected and any device that is able to access the software is also password protected. Cliniko is an Australian company (RED Guava Pty LTD) and your data is therefore stored on a secure server in Australia. (Complaint with all UK security standards) Access to your data is also restricted to need to know basis. ONLY practitioners can assess medical/ treatment data. Our answering team or any other administration staff can only see names and contact details needed for booking appointments. All staff have agreed to our data control and confidentiality policies. We ONLY hold your data for the purpose of providing your treatment and maintaining legal & professional standards dictated by our governing body The General Osteopathic Council. Your data will never be passed on or sold.

How long we hold your data?
We are legally required to hold your data on our system for tax and litigation purposes for a minimum of 8yrs for Adults and until their 25th Birthday for Children. After this time, you have the Right to be forgotten and your data can be permanently deleted off our system. However, in order to provide the best care for you, we ask your permission to hold your data for 15 years from the date of your last treatment. (WHY -This can be helpful as a record of how you have responded to different treatment techniques, seeing patterns in reoccurring issues. Seeing changes in medical history, which could suggest underlying medical conditions. Keeping a more accurate and therefore safer picture of previous trauma and injuries you have suffered this helps us gauge wear and tear on the spine or joints for example). You have the right to change your mind at any time and can contact the Data controllers and ask for it to be deleted.

Contacting you
Cliniko automatically confirms your appointments by email at the time of booking and again 24hrs before your appointment. (This can also be done by text if requested.) Occasionally we may email you a newsletter- if there are changes within the clinic, that will be relevant to you or the care we provide for you. Such as new services, New practitioners, practitioners leaving, changing hours, holiday opening etc. We request your permission to do this. (You have the right to opt out of this newsletter please inform us if you don’t wish to be contacted)

Access to your data your legal rights.
You have the right to request the data we hold about you any time. We have 30 days to comply with this request but we are obliged to confirm with photographic evidence, your identity before we can release this data. You have the right to correct, update, erase, restrict or object to your data being processed. Please do this by contacting the data controller.

Consent
On your first visit, you will be shown a copy of this privacy policy and be asked to be asked to acknowledge our data protection policy. (It is also available on request, in the waiting room on our website and Facebook.) Through agreeing to this privacy notice you are consenting to Carrick Osteopathic Clinic processing your personal and sensitive data for the purposes outlined. You can withdraw consent at any time by contacting the data controller.

Interaction with third parties
At times we may need us to communicate with your doctors, solicitors this can only be done with your permission and with signed consent form from you. Internet booking /Website Website - We do not store or track any data through our website it is for information only. We do offer internet booking through our website at carrickosteopathicclinic.co.uk, this is through a link to ‘Cliniko’ our practice software. At booking, you will be asked to tick to acknowledge that you consent to our privacy policy.

Facebook
We do have a Facebook page and from time to time we post articles we feel may be of interest or useful. You are free to post reviews on the clinic, which we appreciate and may ‘like’ however we have chosen not to use this open/ public method of communication to maintain your confidentiality. If you want to communicate with us, please contact us by Phone or email.

Card Machine
We use a card machine, but no card data is stored, the receipt from the machine is stored in a safe until it is checked and is then destroyed (in compliance with Card machine regulations)
